The Role


As Operations Administrator, you are the first point of contact, always exhibiting a professional and courteous demeanor with callers, visitors and associates. You will manage daily operations of the Canonsburg office and support remote leadership in day-to-day service including troubleshooting operational, service, facilities and compliance issues.




Client Service

  • Responsible for answering reception phone lines, greeting clients, directing service requests and ensuring same-day hand-off to active planners/assistants

Licensing, Contracting, and/or Onboarding 

  • May assist manager in coordinating new hire onboarding and licensing processes to include pre-hire paperwork for associated persons.

Compliance Support 

  • Collect documents necessary and upload into document review and maintenance system.
  • Upon request, handle internal as well as regulatory audits by providing appropriate records to the auditor, to include ensuring audit ready status at all times.

Operational Support

  • Front Office: Answer reception phone lines, greet clients, direct visitors and perform administrative tasks including mail sorting and document imaging
  • Work closely with remote leadership team to ensure smooth day to day operations of the office.
  • Facilities Maintenance:  Daily maintenance of equipment and supplies, order office supplies / Liaison with vendors and building management
  • Finance:  Track variable expenses and submit monthly reporting


  • Interact with co-workers and associates in a courteous and respectful manner to create a positive work atmosphere.  Work with each member of the office to achieve priorities, proactively aiding and assisting whenever possible to achieve maximum total office results

Skills and Abilities

  • Excellent verbal and written communication skills
  • Proven aptitude with MS Word, Excel, PowerPoint and Outlook
  • Extremely well-organized with ability to prioritize; appropriate sense of urgency
  • Proactive approach to problem-solving and attention to detail
  • Self-directed and resourceful with a strong work ethic and the ability to work well independently
  • Proven ability to multi-task and be flexible
  • Service orientation in support of all definitions of clients
  • Ability to make sound decisions and use professional judgment


  • High School Diploma or equivalent required / College degree preferred
