The Role at a Glance

As the Administrative Assistant II, you will support a wide range of project management and administrative tasks specifically supporting Lincoln’s Insurance Finance Business.   You will be responsible for providing leadership support, coordination and prioritization of activities and communication both externally and internally within the organization.   This role will provide support and coordination as needed on a variety of projects, programs, and initiatives to aid management in the successful and timely completion of projects. The role will also review processes and recommend changes to support continuous improvement within Lincoln’s Insurance Finance Solutions business.
 

What you'll be doing

Project & Program Support & Operations
•    Serves as project manager for assigned initiatives (i.e. strategic) with oversight including project plans, preparing meeting agendas, identifying risk areas, budget preparation and budget management
•    Participates in and provides non-routine support to a wide variety of special projects and initiatives; coordinates project activities to facilitate successful and timely completion
•    Keeps abreast of current status of work and initiatives for his/her assigned area
•    Anticipates problems and proactively resolves issues on behalf of management or escalates to management when appropriate
•    Works independently delivering on routine but progressively more non-routine work, in accordance with established procedures and guidelines in a timely manner and meets deadlines appropriately.
General Administrative Support
•    Provides direct administrative support including answering calls, scheduling and coordinating meetings, taking meeting notes, processing/approving expenses, filing, supplies and travel coordination
•    Partner with the executive to capture strategies and messaging in innovative PowerPoint presentations. 
•    Anticipate problems and proactively resolve or escalate to executive when appropriate; actively listen and resolve issues on behalf of Executive. 
•    Assist with budget preparation and monthly budget variance monitoring and reporting.
•    Coordinates with, and may act as backup to other Executive Assistants
•    Conducts purchasing activities and disbursement requests related to various expense activities process invoices/payments as appropriate
•    Supports departmental employee engagement programs.  Previous activities have included wellness, social, and philanthropic employee activities.
Communications
•    Prepares professional and accurate responses to correspondence
•    Effectively interacts with all levels of the organization, including the executive leadership team
•    Facilitates internal and external communications maintaining accurate distribution lists
•    Demonstrates high levels of energy and professionalism to effectively interact with both internal and external executives and colleagues as well as external customers and consultants
•    Supports and promotes change management and/or departmental/enterprise initiatives within assigned area(s) of responsibility.
•    Prepares professional and accurate responses to correspondence 
•    Supports or leads organization of quarterly townhall including meeting set up, agenda development, presentation materials, technology & logistics, and survey of employees for continuous feedback
 

What we’re looking for

•    Associates’ Degree minimum required or 4+ years of experience working as an Administrative Assistant.  Project Management Skills preferred
•    Minimum of 3 years of experience in executive support that directly aligns with the specific responsibilities for this position
•    Demonstrated experience in Project/Program Management preferred
•    Knowledge of Finance Terminology preferred 
•    Expert level knowledge and experience developing PowerPoint presentations and Excel documents utilizing formulas and , creating graphs
•    Demonstrated experience in creating concise and effective written, graphical and verbal communications skills
•    A demonstrated track record of consistently meeting and/or exceeding performance expectations

Pay Range: $28.82 - $34.00 

 

Actual base pay could vary based on non-discriminatory factors including but not limited to work experience, education, location, licensure requirements, proficiency and qualifications required for the role. The base pay is just one component of Lincoln’s total rewards package for employees.  In addition, the role may be eligible for the Annual Incentive Program, which is discretionary and based on the performance of the company, business unit and individual.  Other rewards may include long-term incentives, sales incentives and Lincoln’s standard benefits package.
