The Role at a Glance

An exciting Executive Assistant position has recently opened in the Risk and Actuarial team supporting Chief Actuary and Risk Technology functions. The Executive Assistant will be an integral part of a team of dedicated professionals providing comprehensive administrative support to the Chief Actuary, Senior Vice President (SVP) and the SVP of Risk Technology Teams. In this collaborative setting, you will work closely with fellow team members to ensure the smooth operation of the executives' offices and contribute to the overall efficiency and effectiveness of the department.

 

As part of the administrative support team, you will have the opportunity to collaborate and exchange ideas with colleagues who share a commitment to excellence. You will collectively manage calendars, coordinate meetings, and support various projects and initiatives. Together, you will coordinate complex travel arrangements, streamline communication channels, and maintain efficient document management systems. By pooling your collective skills and expertise, you will provide comprehensive support to the executives, enabling them to focus on their strategic responsibilities. This team-oriented environment fosters a sense of camaraderie, encourages knowledge sharing, and provides opportunities for professional growth and development.

 

While reporting to the Chief Actuary, Senior Vice President you will also be a part of the broader team of EA professionals, not only contributing to the success of the executives you support but also play a vital role in the broader objectives of the organization. Your dedication, teamwork, and attention to detail will be instrumental in helping the department operate seamlessly and achieve its goals.

What you'll be doing

•Calendar Management: Effectively manage the executives' calendars, including scheduling and prioritizing meetings, appointments, and events. Coordinate with internal and external stakeholders to ensure optimal use of their time.
•Meeting Coordination: Prepare meeting agendas, collate relevant materials, and provide logistical support for meetings, conferences, and presentations. Take minutes, follow up on action items, and ensure timely completion of tasks.
•Committee Support: Provide administrative support to committees and working groups, including scheduling meetings, preparing agendas, and distributing relevant materials. Assist with minutes and action item tracking, ensuring effective committee operations.
•Travel Arrangements: Coordinate complex domestic travel arrangements, including flights, accommodations, and itineraries. Ensure travel plans align with the executives' schedules and preferences.
•Document Preparation: Create, format, and proofread various documents, including reports, presentations, and spreadsheets. Ensure accuracy, consistency, and adherence to company guidelines.
•Relationship Management: Establish and maintain positive relationships with internal and external stakeholders, including clients, colleagues, and vendors. Act as a liaison between the executives and various teams, departments, and external partners. Additionally, provide support for employee onboarding activities, including coordinating new hire paperwork, and assisting with the integration process.
•Expense Management: Process and track expense reports, ensuring compliance with company policies. Maintain accurate records of expenses and receipts and assist with budget monitoring and financial reporting.
•License Management: Maintain accurate records of software and professional license assignments across the team, including actuarial modeling platforms and other specialized tools.
•Project Support: Assist with special projects and initiatives by conducting research, gathering data, and preparing presentations. Collaborate with cross-functional teams to facilitate project milestones and deliverables.
•Confidentiality and Data Security: Handle sensitive and confidential information with the utmost discretion. Maintain strict confidentiality protocols and ensure data security measures are followed.
•Office Organization: Organize and maintain electronic and physical files, ensuring easy retrieval of information. Manage office supplies, equipment, and facilities to ensure a well-functioning work environment.

What we’re looking for

•5+ Years of executive assistant experience (minimum required)
•Exceptional organizational skills, demonstratable abilities to effectively manage calendars, coordinate meetings, prioritize tasks, and meet deadlines in a fast-paced environment.
•Excellent communication (written and verbal) abilities. Experience interacting with individuals at all levels of the organization.
•Demonstrated ability to handle sensitive information with utmost discretion and maintain a high level of confidentiality. 
•Tech savviness with productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Microsoft Teams. 
•Strong attention to detail ensure accuracy in document preparation, scheduling, and managing information.
•Proactive problem-solving skills
•Flexibility and adaptability, work well under pressure, and multi-task. Strong professional presence, and interpersonal skills.
•Ability to work overtime if needed.
•Advanced Analytics: In certain situations, use advanced analytics tools or techniques to analyze data, generate insights, or prepare reports. This could involve using spreadsheet software, data visualization tools, or statistical analysis software to support decision-making or provide relevant information to executives.
•Simple Code Writing: Depending on the specific projects, ability to write scripts to automate repetitive tasks using programming languages like Python or using macros in software applications to streamline processes.
•AI Tool Proficiency: Familiarity with AI productivity tools (Copilot, Claude) to support document drafting, summarization, and workflow automation. Comfortable experimenting with and adopting new AI capabilities as they evolve.

The pay range for this position is $35.87 - $47.83 with anticipated pay for new hires between the minimum and midpoint of the range and could vary above and below the listed range as permitted by applicable law. Pay is based on non-discriminatory factors including but not limited to work experience, education, location, licensure requirements, proficiency and qualifications required for the role. The base pay is just one component of Lincoln’s total rewards package for employees.  In addition, the role may be eligible for the Annual Incentive Program, which is discretionary and based on the performance of the company, business unit and individual.  Other rewards may include long-term incentives, sales incentives and Lincoln’s standard benefits package.
