The Role

The HR Coordinator is a key enabler to ensuring delivery of LFG’s workplace services by proactively coordinating/prioritizing HR programs, reporting, data integrity, and responsiveness to HR team, manager, and employee requests and inquiries. This individual will actively manage the information requirements of a ~3,000 employee business group, providing insights and analytics regarding the workforce to the HR and business teams, providing support for a wide range of HR activities such as annual performance, talent, and compensation programs, and serving as the first line of support for the SVP HR.

 

This position will interact with all levels of the organization, including the executive leadership team.  Additionally, he/she will interact frequently with key stakeholders inside and outside of the organization.

 

Responsibilities

  • Executive Organization & Management - Manage executive availability and commitments to ensure clear priorities and optimum use of executive time
  • Confidentiality and discretion – as this individual will have access to highly confidential information, he/she must demonstrate the ability to protect all information to which they have access, and understand the absolute requirement to maintain complete discretion with all individuals
  • Meeting Management for executive and team schedule, agenda management, coordination, and follow-up
  • Concierge Level Service – Provide a positive experience for all those encountering executive office and proactively provide exceptional high touch services to all employees, guests, and visitor
  • Presentation coordination – Lead and/or participate in creation of insightful and polished presentations, ensuring accuracy, thoroughness, and high-quality content and format. Work with team members and other content contributors to ensure on-time and on-target deliverables
  • General Administration Support – Provide administrative support including answering calls, scheduling meetings, taking meeting notes, processing/approving expenses, filing, travel coordination, etc.
  • Reporting – proactively gather and organize reporting requirements, including producing weekly/monthly reports for team members. Additionally, manage the analytics and reporting related to Exit Surveys, compensation, talent, performance management, and other programs
  • Team Focus –Collaborate with the support staff team, providing back-up support to the receptionist and other administrative assistants as needed
  • Budget – coordinate with the finance department on the department’s budget. Proactively review the monthly report, and assist the SVP and other cost center managers with forecasts and expense reconciliation
  • Onboarding – support and coordinate new hire on-boarding
  • Proactive Partnership – anticipate priorities, issues and proactively resolve or escalate where appropriate
  • Prioritization –maintain priorities to ensure that high importance work is handled to ensure deliverables in alignment with business requirements; demonstrate ability to anticipate/adjust priorities as business needs change
  • Collaboration –maintain proactive and collaborative relationships to ensure that the LFG brand and HR reputation remain stellar both internally and externally
  • Flexibility – able to adapt to changing business requirements and provide support to align with needs of the team

Education

  • High School diploma or 5+years of comparable Executive Assistant experience

Experience

  • 5+ years of executive assistant experience
  • Demonstrate ability to maintain confidentiality and discretion with the most highly sensitive information
  • Exceptional organizational skills and aggressive follow-up skills
  • Ability to prioritize, meet tight deadlines and maintain high quality work
  • Exceptional customer service and relationship management skills
  • Strong problem-solving skills with a strong ability to get things done
  • Energetic, responsive team player interested in taking initiative and working in a fast-paced environment
  • Excellent written and oral communication skills
  • Flexible, adaptable, and professional
  • Highly skilled in Microsoft Office including Word, Excel, Power Point and Outlook
  • Demonstrated facility with HR technology or other business applications
  • Strong learning acumen; demonstrated interest in growing their skillset
  • Undergraduate degree preferred
  • Ability to work overtime if needed
