The Role

The Talent Management Coordinator serves as a shared resource for the Recruiting, Talent Development and Organization and Leadership Effectiveness teams.  This involves managing high volume scheduling, tracking, coordination of people and assignments, website administration and high touch support for recruiters and external candidates. The Associate will continually develop the ability to effectively communicate and apply critical thinking while working independently in a fast-paced, team-oriented environment. The Associate will also perform outbound calls to provide timely follow-up on outstanding issues, and work on various administrative projects.

Shared Service Responsibilities

  • Responds in a timely manner to all correspondence
  • Promptly and accurately schedules and maintains calendars
  • Leverages established use of all processes in all departments for quality and efficiency
  • Identifies opportunities for process improvements across all departments
  • Maintains relationships with internal business partners and Centers of Expertise
  • Maintains and updates all tracking documentation and systems
  • Responds appropriately to confidential and sensitive information while maintaining a high level of confidentiality at all times.
  • Maintains all resource documents
  • Perform and deliver on routine and non-routine assignments for his/her assigned area(s) of responsibility in Talent independently and in accordance with established procedures/guidelines
  • Performs other duties as required.

Recruiting Responsibilities

  • Plans and coordinates activities associated with external candidate interviews including but not limited to travel, catering and scheduling at various meeting locations
  • Escort candidates to interviews, demonstrating a polished professional presence to ensure a positive experience for everyone participating in the interview process
  • Reviews, and evaluates candidate background checks in accordance with established policies and guidelines and facilitate follow-up communication with candidates (including pre-employment drug screens).
  • Coordinates and facilitates offer letter process for new hires.
  • Assists with new employee orientation.

Talent Development Responsibilities

  • Manage Learning course logistics including conference room scheduling, identifying site contacts and room requirements, and catering.
  • Monitor Learning mailbox/case management, which includes managing course enrollments.  In addition, respond to general inquiries and forwarding other inquiries to relevant team member for review/response.
  • Assist with vendor management process including scheduling, invoice submissions, budget tracking and statements of work.

Organization and Leadership Responsibilities

  • Manages the administration, reporting and client support for multiple websites
  • Coordinates all logistics and materials development and distribution for all organization development engagements
  • Maintains all tracking documents
  • Works with clients to troubleshoot questions regarding assessment administration and completion
  • Tracks and assigns facilitators to appropriate sessions
  • Ensures that all organization development engagements are delivered on time with high quality materials

 

 Education

  • High School or GED (Minimum Required)

 Experience

  • 2 - 3 Years of administrative support experience that is aligned with the responsibilities for this position.(Required)
  • Demonstrates ability to manage multiple priorities, think tactically and strategically, demonstrate objectivity, be results-oriented, and show initiative and creativity
  • Demonstrates excellent organizational skills with the ability to prioritize workload and multi-task while maintaining strict attention to detail.
  • Demonstrates ability to work in a fast-paced environment.
  • Demonstrates the ability to use sound judgment and discretion regarding confidential information.
  • Demonstrates strong interpersonal skills with a collaborative style among management, colleagues and peers.
  • Demonstrated solid relationship management skills with internal and/or external clients (e.g. management, peers, colleagues, customers, etc.).
  • Demonstrates ability to evaluate information and the implications of a course of action or solution.
  • Demonstrates ability to manage a high volume executive interview process by developing a plan and executing efficiently and accurately using Microsoft Outlook and other tools.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrates project management skills
  • Demonstrates excellent written and verbal communication skills.
